Executive Assistant – Maternity Cover

We are a trends and intelligence organisation in London (NW1) and are looking to recruit a temporary executive assistant to support two senior directors on an initial six month maternity cover basis. Apply now with your CV and a cover letter which details your current salary and notice period.

Key responsibilities

  • Assist CEO & COO with daily administrative duties including managing of active calendars across multiple time zones; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, itineraries and agendas; and compiling documents for meetings
  • Follow up on agendas and allocated tasks from management meetings
  • Act as the point of contact between the executive office and external clients, handling requests and queries appropriately
  • Organise off-site meetings, source new venues (hotels, restaurants etc.), create agendas, pull together data/presentations and arrange travel and logistics
  • Assist the marketing team and arrange quarterly client events including the management of guest lists, venues and catering
  • Oversee the day-to-day running and facilities management of the London, New York and regional offices
  • Manage the office operating procedures, ensuring compliance with all relevant workplace health and safety obligations
  • Support the delivery of office inductions for new personnel
  • Assist and manage (as required) projects and activities that involve the use of the office facilities and meeting rooms, e.g. client meetings and business breakfasts events
  • Line management of one direct report – help to mentor and encourage new ideas and initiatives to improve efficiency
  • Schedule Board meetings and preparation of top-level documents and materials ready for COO
  • Support the General Counsel’s Office for legal agreements in respect to administration and filing
  • Ad-hoc projects as directed by CEO and COO

  • Discretion and an understanding of confidentiality issues, as well as honest and reliable

 

Qualifications and Experience

Essential:

  • Experience working at C-suite level
  • Highly proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office Suite

Desirable: 

  • First Aid and Fire Safety awareness
